The Servus Amoris Foundation recognizes the vital role that an Advisory Council plays in ensuring organizational integrity, mission-alignment, and strategic growth. This document outlines the system, structure, and operational guidelines for the establishment and functioning of the Advisory Council.

I. INTRODUCTION

The Advisory Council of SERVUS AMORIS FOUNDATION INC. is an essential body composed of trusted experts, Church leaders, pastoral caregivers, professionals, and mission advocates who serve as spiritual, strategic, and technical guides to the foundation. The Council exists to uphold the integrity, mission-alignment, and excellence of the foundation's programs and policies.

This system outlines the purpose, structure, functions, membership, and operations of the Advisory Council.

II. PURPOSE OF THE ADVISORY COUNCIL

  • To provide spiritual and pastoral guidance aligned with the Catholic identity of the foundation.
  • To offer strategic advice in program development, mission direction, and organizational sustainability.
  • To support networking and partnerships by representing the foundation among Church, academic, and civic circles.
  • To help monitor and evaluate the ethical, theological, and professional soundness of foundation initiatives.

III. FUNCTIONS AND RESPONSIBILITIES

A Strategic and Programmatic Advice

  • Review and provide feedback on key programs, proposals, and formation initiatives.
  • Guide the foundation in addressing emerging pastoral and social issues.

B Spiritual and Theological Guidance

  • Ensure that all activities and advocacies are consistent with Catholic doctrine and Gospel values.
  • Recommend spiritual themes, formation materials, and renewal frameworks.

C Ethical Oversight and Support

  • Serve as consultative body on ethical dilemmas, personnel matters, and mission integrity.
  • Participate in the Ethics Committee or Board Review for sensitive matters when requested.

D Capacity-Building and Resource Support

  • Recommend professionals or experts for training, accompaniment, and mentorship.
  • Support capacity-building of staff, volunteers, and mission partners.

E Representation and Advocacy

  • Represent the foundation in forums, conferences, or Church settings.
  • Assist in building bridges with potential donors, partners, or collaborators.

IV. COMPOSITION AND QUALIFICATIONS

A Membership Composition

  • Clergy and religious with pastoral or formation background
  • Professionals in psychology, theology, education, social work, law, or governance
  • Advocates for the poor, wounded, and marginalized
  • Former or current leaders from Church-based organizations or institutions

B Qualifications

  • Demonstrated commitment to the mission of SERVUS AMORIS
  • Recognized expertise or leadership in their field
  • Willingness to provide counsel with humility, confidentiality, and generosity

C Term of Service

  • Term of 2 years, renewable based on performance and availability
  • May be invited as permanent or honorary members at the discretion of the Board

V. STRUCTURE AND OPERATIONS

A Roles within the Council

  • Chairperson (if appointed): Coordinates meetings and communicates with the Executive Director
  • Members: Provide insights, review materials, and participate in designated committees or forums

B Frequency of Engagement

  • Regular meeting: at least twice a year (semi-annual strategic and spiritual review)
  • May be convened ad hoc for urgent matters or consultations
  • Participation may include in-person or virtual attendance

C Secretariat Support

  • The Executive Director shall serve as the liaison to the Advisory Council
  • The Admin Assistant shall provide administrative and logistical support
  • Meeting documentation, minutes, and summaries shall be shared within 10 working days

VI. RIGHTS AND LIMITATIONS

  • The Advisory Council is a non-governing and non-voting body
  • They hold an influential consultative role but do not make binding decisions
  • Their recommendations are submitted to the Executive Director and/or Board of Trustees for discernment and action

VII. INSTITUTIONAL RECOGNITION

  • Members of the Advisory Council may be publicly acknowledged in foundation events, reports, or publications
  • A Letter of Appreciation or Certificate of Service shall be issued annually
  • Exceptional members may be nominated for ecclesial or civic recognition as appropriate

VIII. REVIEW AND CONTINUOUS DEVELOPMENT

  • The Advisory Council system shall be reviewed every three years to evaluate effectiveness and relevance
  • Feedback shall be solicited from Council members and Foundation leadership
  • Orientation and updates shall be provided to ensure shared mission understanding
